POSITION OVERVIEW

The Project Coordinator II (PC II) is responsible for overall administrative and operational support for the program's Vice President, Executive Directors, Directors, Scientists, Developers, Project Managers, and other Project Coordinators to facilitate and support the Critical Path Institute's multiple global, virtual working groups that work together in their efforts to advance drug development tools and accelerate therapy development. The PC II work will focus on the support, organization, coordination, and communication of all activities involving members of the Program. The role requires precise and clear communication skills to ensure smooth management of activities. The PC II is responsible for performing independent time-sensitive tasks to support the successful operation of the Program.

CORE DUTIES/RESPONSIBILILITIES

  • Administrative support for the Program VP leadership and employees including travel planning/arrangements and scheduling meetings as requested.
  • Maintain Program leadership and Program staff appointment calendars as requested.
  • Schedule ad-hoc meetings as requested by Program staff members.
  • Anticipate scheduling conflicts by looking ahead by proactively identifying and resolving identified conflicts.
  • Coordinate activities with other Project Coordinators and Project Managers as requested with other consortia and programs.
  • Input and maintain content of the Quantitative Medicine SharePoint sites.
  • Support (electronic) communications/interactions. For example:
    • Coordinate meetings with strategic internal and external C-Path collaborators.
    • When applicable, share Program materials internally or externally.
    • When applicable, work with Communications Team to announce initiatives being led by the Program to collaborators and/or professional networks.
  • Assist with project management, such as the development of project work plans and revise as appropriate to meet changing needs and requirements, as needed.
  • Track and document best practices and lessons learned and share those with the team.
  • Schedule offsite meetings, as requested by program or project managers, including working with hotel to ensure venue can accommodate all room, food, and audio/visual needs and that costs remain within planned budget.
  • Other duties and responsibilities may be assigned.

REQUIRED KNOWLEDGE, SKILLS AND ABILITIES

  • Works well independently and in a team-oriented, collaborative environment.
  • Strong oral and written communication skills with familiarity in technical scientific language and writing.
  • Professional business writing skills to include composing summary reports, correspondence, and other documents.
  • Strong organizational skills such as time management, planning, and decision making.
  • Ability to adapt and change as needed to address new and changing demands and requirements.
  • Ability to prioritize to meet schedule requirements.
  • Detail-oriented and keen editorial eye.
  • Strong problem-solving and negotiation skills.
  • Self-motivated with the ability to work in a fast-paced environment with top performers.
  • Ability to assist with small projects and complete the work independently with guidance/direction from project management staff.
  • Ability to learn new skills, develop training material, and share learnings with Program staff.
  • Proficient use of Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and Adobe Acrobat.
  • Familiarity with SharePoint.
  • Familiarity with Cvent for managing events.
  • Proficient use of Zoom and Microsoft Teams for setting up and running meetings and webinars.

REQUIRED EDUCATION AND EXPERIENCE

  • A two-year degree in business management, communications, or similar area of study, preferred.
  • A minimum of three years of direct Project Coordinator experience preferred, or an equivalent combination of education and experience.
  • PACE, CAP, CAPM preferred.
  • Experience in healthcare-related organizations, preferred.
