POSITION OVERVIEW

The Project Coordinator (up to 2 positions) is responsible for overall administrative and operational support for the department's/program's Executive Directors, Associate Directors, Scientific Directors, Project Managers, and other Project Coordinators to facilitate and support the Critical Path Institute's multiple global, virtual working groups that work together in their efforts to advance drug development tools and accelerate therapy development. In addition, the PC is responsible for direct support for the Vice President of the Program and Executive Directors for each consortium within the Program. The PC work will focus on the support, organization, coordination, and communication of all activities involving members of the Program. The role requires precise and clear communication skills to ensure smooth management of activities. The PC is responsible for performing independent time-sensitive tasks to support the successful operation of the Program.

CORE DUTIES/RESPONSIBILITIES

  • Administrative support for the Program leadership and employees including travel planning/arrangements and scheduling meetings as requested.
  • Maintain Program leadership and staff appointment calendars as requested.
  • Schedule ad-hoc meetings as requested by Program staff members.
  • Anticipate scheduling conflicts by looking ahead proactively and fixing identified conflicts.
  • Coordinate activities with consortia Project Managers that involve collaboration with other consortia or departments.
  • Support (electronic) communications/interactions. For example:
    • Coordinate meetings with strategic internal and external C-Path collaborators.
    • When applicable, share Program materials internally or externally.
    • When applicable, work with Communications Team to announce initiatives being led by the Program to collaborators and/or professional networks within planned budget.
  • Other duties and responsibilities may be assigned.

REQUIRED KNOWLEDGE, SKILLS AND ABILITIES

  • Works well independently and in a team-oriented, collaborative environment.
  • Strong oral and written communication skills with familiarity in technical scientific language and writing.
  • Professional business writing skills to include composing summary reports, correspondence, and other documents.
  • Strong organizational skills such as time management, planning, and decision making.
  • Ability to adapt and change as needed to address new and changing demands and requirements.
  • Ability to prioritize to meet schedule requirements.
  • Detail-oriented and keen editorial eye.
  • Strong problem-solving and negotiation skills.
  • Self-motivated with the ability to work in a fast-paced environment with top performers.
  • Ability to assist with small projects and complete the work independently with guidance/direction from project management staff.
  • Proficient use of Microsoft Office Suite (i.e., Word, Excel, PowerPoint, Outlook, Teams) and Adobe Acrobat.
  • Familiarity with SharePoint.
  • Familiarity with Cvent for managing events.
  • Familiarity with use of Zoom and Microsoft Teams for setting up and running meetings and webinars.

REQUIRED EDUCATION AND EXPERIENCE

  • High School Diploma or Equivalent, Associate/bachelor's degree preferred
  • A minimum of two years of administrative experience preferred, or an equivalent combination of education and experience.
  • Experience in administrative roles, preferred.
  • Experience in healthcare-related organizations, preferred
